Make the order reference unmistakable
Place the document title, order number and issue date near the top. Customers should be able to identify the order immediately when they print the document, forward it internally or attach it to an expense record.
Use labels that remain understandable in grayscale. Colour can reinforce hierarchy, but it should never be the only way a field or status is communicated.
Give line items enough structure
Product names, variants, quantities, prices and discounts need predictable alignment. Avoid squeezing too many fields into one narrow row. Long values should wrap cleanly without pushing totals or quantities into the wrong visual column.
Decide whether SKUs, images and item properties genuinely help the recipient. Extra data has a cost: it increases page length and makes the main commercial information harder to scan.
Treat totals as a hierarchy
Subtotal, discounts, shipping, tax and final total should form a clear sequence. The final total deserves visual emphasis, but the supporting amounts must remain readable so customers can reconcile the calculation.
The template should display the values Shopify supplies. It should not invent tax treatment or imply that a printable order summary is a jurisdiction-specific legal invoice without qualified review.
Design for a real printer
Browser previews can hide physical-print problems. Use print-safe margins, system fonts and page-break rules that keep totals and headings with the content they describe.
Test a long synthetic order, save a PDF and inspect every page. A professional document is one that remains professional after the browser turns it into paper.
Order Printer install and print checklist
Protect the current setup, prepare a representative test order and verify the physical output before release.
Review before you publish a template.
- Document title, order number and date are visible immediately.
- Line items wrap without moving quantities or prices out of alignment.
- Discount, shipping, tax and total form a readable hierarchy.
- Contact details are current and intentionally shown.
- Colour-independent labels work in grayscale.
- A long synthetic order passes a PDF print check.
Practical answers.
Is an order summary always a legal tax invoice?
No. Legal invoice requirements vary by jurisdiction and business. A template should be reviewed against the requirements that apply to the merchant.
Should product images appear on an invoice?
Only when they materially help the recipient. Images can increase page length and are usually less important than names, variants, quantities and totals.
